How Do I Hire VSE Capital Realty, Inc.?

You may download a blank sample of our Property Management Agreement (“Agreement”) for your review. Once you have had a chance to review the Agreement, please contact us so we can mail to you a fully completed Agreement for your signature. The completed document can be mailed or faxed back to us. Once we have received it from you along with $300 to establish your escrow account reserve, we can go to work for you right away. When you sign the Agreement you immediately accomplish several things:

• You create a legal agency relationship between yourself and VSE Capital Realty, Inc. which among other things enables us to sign leases on your behalf.
• You give us the authority to list your home in the MRIS real estate data base whenever we need to find a tenant.
• You turn your home into a business.
• And lastly, you take the first step toward the complete peace of mind that you should have when you hire a professional property management company.

We will also need you to fill out the Property Management Information Form and return it to us as soon as possible. This tells us everything that we should know about the administration of your property including any service agreements you may have, what your community amenities are, your insurance information, etc.

If you have never rented your home before and are about to move out we will visit the property and make recommendations regarding improving the marketability of the home. We can advise you what to spend your money on and equally important, what not to spend your money on.

If you have been managing your property yourself and have tenants in place we will send them instructions to begin making their rental payments to VSE Capital Realty, Inc. on the date you want us to take over. We will also schedule an inspection of the property at the earliest opportunity to create a Property Condition Report and advise you if there are any repair or maintenance items that require immediate attention.

If you currently retain a property manager there is typically 30 days written notice required to terminate your contract although this time frame varies from company to company. Once you have given the other company notice of your intent to conclude your agreement we will coordinate the transfer of records, funds, keys, etc. with the other manager to ensure a smooth changeover.

If your property has tenants in place when we take over we will schedule an inspection and alert you if there are any issues requiring immediate action. If the property is vacant we will perform a market analysis and advise you of its current rental value. Upon your approval of the price we recommend we will place the home in the MRIS data base as well as on our website and begin the search for a tenant.
The remaining forms we will need from you are:

• IRS Form W-9: This identifies the Social Security or Tax ID number we will use when we file the 1099 MISC rental income report each year with the IRS.
• Virginia Department of Taxation Form R-5E: Fill this out if your legal address is within the Commonwealth of Virginia but you temporarily reside out of state.
• Virginia Department of Taxation Form R-5: Fill this out if your legal address is not within the Commonwealth of Virginia.
• Lead Based Paint Disclosure: Fill this out if your home was constructed prior to 1978.
• Virginia Property Disclosure Act  -  Disclaimer Form: Fill this form out if you plan on offering your rental with an option to purchase feature.
